The survey goes by SMS, email, or your club's own member app. Nothing sends between 8pm and 8am. The member taps a link, answers on their phone, and is finished in under a minute — no login, no download, no account to create.
They answer honestly, because they aren't answering you.
Every response carries the outlet, the date, the time, and the server from the bill. Ratings roll into your three benchmarked indices; the comment goes into the week's analysis.
Food was excellent as always. But we waited 25 minutes after being seated before anyone came near us, and had to ask twice for water. Room was half empty.

Any response scoring 1–2 stars overall, an NPS of 0–6, or containing hygiene and safety language opens a case alert immediately, with a suggested follow-up already drafted. Assign it, make the call, resolve it — while the member still remembers the evening well enough for the call to land.

Will this annoy the membership?
It's the first thing every GM raises, and the system is built around it. You set a spend threshold per outlet, so a member buying a bottle of water isn't surveyed. You set a re-survey window — most clubs use 30 to 60 days — so nobody is asked twice in a season regardless of how often they visit. There is one reminder, ever, and a permanent opt-out on every message that ClubVero honours across all channels.
The survey itself is four ratings and an optional comment. Median completion is well under a minute.
Does it work with our POS?
ClubVero reads the sales export your system already produces. It doesn't need write access, an API key, or a project with your POS vendor — which is why onboarding doesn't depend on your vendor's roadmap or their professional services queue.
We support the major club systems and plain CSV or Excel exports. If yours isn't one we've seen, send a sample file: a new parser takes days rather than months, and we build it at no cost to you.
We already run an annual satisfaction survey.
Keep it. An annual survey answers questions about the club as an institution — capital projects, dues, governance — and ClubVero doesn't replace that.
What it can't do is tell you the Terrace lost a step in the second week of May because a section was under-staffed on Tuesdays. That's an operational signal, and operational signals need to arrive within days to be worth anything.
Who has to run it day to day?
One person uploads a file; department heads work their actions. No analyst, no report writing, no configuration after week one. The clubs getting the most out of it are the ones where the F&B director opens the actions screen at Friday line-up — that's the whole habit.
What happens to member data?
ClubVero holds the six fields it needs to match a bill and deliver a message. Nothing is sold. No club's data is ever shown to another club in identifiable form. Access inside your club is role-scoped, enforced at the database, and every look-up is written to an append-only audit log. Your data is exportable in full and deleted on request when you leave.
How quickly can we be live?
Two weeks is typical: one to load the membership list and confirm the POS parse against a real export, one to set thresholds and question wording with your team. The first surveys go out at the end of week two, and the first action plans land the Friday after.
